PROFILEOS

More clarity, less daily admin.

The difference ProfileOS makes in daily work – for model agencies with a team and for independent models who run everything themselves.

PROFILEOS

For agencies: what changes in everyday work

Less searching, fewer loose ends and a clear picture for everyone involved.

An agency lives on many small agreements: who called, which model takes the job, what has been paid and what is still open. When this knowledge sits in private chats, notebooks and spreadsheets, questions pile up in the office. With ProfileOS it stays with the client, the booking and the team.

Fewer questions across the office

Whoever takes a call sees the earlier bookings of that client and which models they have booked. Agreements go into the team chat and into tasks instead of private messages.

  • New colleagues look things up in the records instead of asking around

Client history at a glance

When an enquiry comes in, its phone number or email address shows whether the client is already known and whether your team has blocked them; a matching street address is pointed out as well. A booking for a blocked client can only be saved with an explicit confirmation.

  • The reason for a block is recorded with the client

Clear settlements with models

Commissions are calculated per model and period and can be handed over as a PDF. Open commissions, instalment plans and deposits that still have to be settled stay listed until they are cleared.

  • Moving a booking to another month keeps the settlement correct

Handovers without gaps

Notes on each client, the status of every booking and tasks with a due date show where things stand, even when a colleague is away or leaves the team.

  • The history of a removed team member stays in place

An overview for the management

At the start of the day the overview tells you how many bookings are on, which amounts are open and which models are active. Revenue can be filtered, and Money Manager shows the balance of every account.

Fewer lists and spreadsheets

Revenue, deposits, unpaid Member Access, coaching, services and expenses are recorded where the work happens. When your accountant needs figures, you export the revenue overview as a CSV file.

  • Each person works only with what their permissions allow

PROFILEOS

One enquiry, from first contact to settlement

This is how a typical request runs through an agency that works with ProfileOS.

Everyone who handles the booking along the way works with the same information, and nothing has to be copied from one list to the next.

  1. The enquiry arrives

You type in the phone number or email address of the caller. ProfileOS tells you whether this person is already a client and what they have booked before.

  2. Check the client

If the client is among your blocked clients, a clear warning appears. Anyone who wants to save the booking anyway has to confirm it explicitly.

  3. Record the booking

Date, time, location, amount, travel costs and the model go into one booking. If the model already has a booking at that time, a notice appears after saving.

  4. Brief the model

Once the booking is confirmed, the message for the model is ready to go via WhatsApp or Telegram. You read it over and send it yourself.

  5. After the job

Mark the booking as completed, and the deposit already received is set off against the amount. A cancellation is recorded as a cancellation.

  6. Settle up

The booking shows up in the revenue overview and in the commission of the model. Anything still unpaid stays on the outstanding lists until it is cleared.

PROFILEOS

For independent models: what gets easier

You run your business alone – ProfileOS keeps it together in one private workspace.

Enquiries, bookings, deposits and advertising tend to end up spread across your phone: a few chats here, a note there, a spreadsheet for the money. The independent model account brings all of this into one place that is yours.

Your business in one place

Clients, bookings, income and advertising sit together in a workspace of your own, separate from every other account.

  • Client notes stay in your own account

Privacy Mode for shared screens

With one tap, Privacy Mode blurs names, amounts and photos on your screen. An optional Lock Screen with PIN adds a second layer of protection.

Clients you no longer work with

Put clients you no longer want to work with on your list of blocked clients, together with the reason. If you enter one of them for a new booking, ProfileOS shows a warning.

  • A matching address is pointed out as well

Income and deposits at a glance

You see what has come in, which deposits are still open and what you have spent. In Money Manager you sort your expenses into categories you define yourself.

Platforms and passwords in order

Keep track of the platforms where you present yourself, which profile is still waiting for approval and what needs doing next. Passwords sit in the vault instead of in a notebook.

Your Sedcard, ready to send

My Profile keeps your details, rates and gallery. From there you create a Sedcard as a PDF with a protective watermark whenever someone asks for one.

PROFILEOS

Your week with ProfileOS

Small steps keep your week in order.

Most of this happens on your phone between jobs. In the evening, the same information is waiting for you on your tablet or laptop.

  1. Look ahead

The week view of the calendar lays out your bookings, and the status of each booking tells you which are confirmed and which are still enquiries.

  2. Answer a new enquiry

Before you reply, the client check shows whether you already know this client and whether they are among your blocked clients.

  3. Confirm the booking

Note the deposit on the booking as soon as it arrives, and move the status on to deposit received, then to confirmed.

  4. On the move

Open ProfileOS from the app icon on your home screen, and switch on Privacy Mode when someone is sitting next to you.

  5. Keep your profiles current

Your advertising tasks list the sign-up and publishing work that is still open on your platforms.

  6. Close the week

Mark the bookings that took place as completed. Money Manager shows your income, expenses and balance, and open deposits have a list of their own.

Everyone works in one of five languages, guides in the Help Centre walk you through common tasks, and support can be reached directly from the program.

  • Sample data lets you try ProfileOS out before you enter real clients
