PROFILEOS

Getting started and the free trial

What ProfileOS is, who it is made for and how your first 14 days work.

What is ProfileOS?

ProfileOS is online software for running the daily business of a model agency or of a model who works alone: enquiries and client records, appointments, advertising and payments. Agencies also manage their staff in it.

Is ProfileOS right for my business?

Yes, if you run a model agency – on your own or with staff – or work as a model and take your own bookings. How the two account types differ is explained in the next section.

How do I get started?

Register via the free trial button and confirm your email address. ProfileOS activates new accounts by hand, and your 14 trial days start with the activation.

Does the trial cost anything?

No, the trial is free. You only pay if you want to keep working with ProfileOS after the 14 days.

Are there any limits during the trial?

Yes, a few: during the trial, some quantities – storage space, for example – are capped. A paid account is not bound by these trial limits.

Can I look around with sample data first?

Yes. The main owner can load a set of example models, clients, bookings and amounts to explore with, and delete the whole set once it is no longer needed.

Where do I enter a voucher code?

During registration. The voucher field is optional, so you can register without a code just as well.

What happens when the 14 days are over?

To continue, you pay for your subscription – after the trial there is some time to do so. If no payment arrives, ProfileOS pauses your workspace rather than deleting it, and your data remains.

PROFILEOS

Account, prices and billing

Accounts, payments and invoices – and where to find the prices.

Where can I see what ProfileOS costs?

On the Pricing page. Choose Agency / Team or Independent Model first; the page then shows the price for that account type, per month or per year as you prefer.

How do the two account types differ?

The Independent Model account is for one person working alone. The Agency / Team account is for agencies that represent models, with staff and roles whenever you need them. The Features page lists in detail what each account includes.

Can I pay monthly or yearly?

Both are possible. Paying for a whole year costs less than twelve monthly payments; the Pricing page shows how much you save.

How does payment work?

ProfileOS sends you the details for your payment by email.

Do I get invoices?

Yes. Each invoice is issued as a PDF with its own invoice number and your customer number.

Can I change the email address of my account?

Yes. The new address only becomes active once you have confirmed it, and the previous address receives a security notice.

PROFILEOS

Working with ProfileOS

Clients, bookings, deposits and models – questions from everyday use.

How does the client check work?

When you type in a phone number or email address, ProfileOS looks for a client it already belongs to. If there is one, you can pick that existing client and avoid recording the same person twice.

Does a client find out that they have been blocked?

Not from ProfileOS – the client is not notified. The entry, including why you blocked the person, can only be seen inside your workspace.

What happens if a model has two bookings at the same time?

The booking is saved either way; straight after saving, ProfileOS points out the clash. Whether one of the appointments moves is your call. Bookings marked as cancelled or no-show are ignored for this check.

How do I keep track of deposits?

Each deposit is recorded on its booking, where you later also note whether you keep it or pay back part or all of it. When the booking is marked as completed, ProfileOS applies the deposit to the booking amount, and deposits that clients still owe are gathered under Outstanding deposits.

Can I send the details of a booking to the model?

Yes, with an agency account, as soon as the booking has been confirmed and a model assigned. ProfileOS writes the message and hands it over to WhatsApp or Telegram; the sending itself happens in that app.

How do I create a Sedcard?

You decide which details and photos go on it, arrange them and choose a logo. The result is a watermarked PDF that you can download or share.

Can I manage several agencies or locations?

Yes – agency accounts can do that. Locations sit under each agency and can carry their own logo, and one model can be linked to several of your agencies.

Can I work with more than one currency?

Yes, within the currencies ProfileOS supports: a booking can be recorded in one of them; ProfileOS stores the day’s rate with it and gives your totals in the one reporting currency you have chosen.

Does ProfileOS do my bookkeeping?

No. It keeps revenue, commissions and your Money Manager figures in order, but bookkeeping and tax returns are not part of it.

PROFILEOS

Team and collaboration

Mostly for agencies and teams: inviting colleagues, deciding who may do what and keeping shared documents.

How do I invite colleagues?

Send an invitation by email from the agency account. The link stops working after a limited time, and until the invitation is accepted, it counts towards the places your plan includes.

Who in the team sees what?

Permissions decide that. New members get none automatically: you assign them when you invite someone or later, area by area – from simply viewing up to deleting or downloading – one by one or with a preset such as “read only”.

Can an accountant be limited to certain locations?

Yes. You can restrict the accountant role to particular agencies or locations; the payment desk then lists only the payments that belong to them. Inviting an accountant is reserved for the main owner.

Is the team chat encrypted?

Yes – new messages are protected end to end. The chat comes with agency accounts only, and files sent in it – photos, videos, voice messages and documents – are deleted after a set period.

What happens when someone leaves the team?

You can lock the person out or remove them from the team; either way, their history stays in ProfileOS.

Can we keep contracts and documents in ProfileOS?

Yes, in Media & Documents – contracts, invoices or model releases, for example. Files can be images, PDFs or Office documents (Word, Excel, PowerPoint), and earlier versions of each file are kept. Videos cannot be stored there.

PROFILEOS

Devices and languages

Where ProfileOS runs, its languages, the display and notifications.

Does ProfileOS work on my phone?

Yes, and equally on tablets and computers, all through the web browser. Changes made on one device show up on the others as well.

Do I need to install an app?

No – you do not need an app store for ProfileOS. If you like, put its icon on the home screen of your iPhone or Android phone, or on your computer, and start it from there.

Which languages does ProfileOS offer?

English, German, French, Spanish and Thai. The language is set per person – one colleague can work in Thai while another uses English – and ProfileOS sends that person its emails in the same language.

Is there a dark mode?

Yes. ProfileOS can switch to a dark appearance if you prefer it.

Will I get notifications on my phone?

For the team chat, yes: in the agency account, new chat messages can appear as notifications on your phone.

What can I do if someone looks at my screen?

Privacy Mode is made for that: one tap, or Alt+Shift+P on a keyboard, switches it on. Names and contact details, amounts and photos are then blurred for the rest of your session in that browser tab.

PROFILEOS

Data and security

Short answers on protection and your data.

Who can see my data?

The people you add to your team, each within the permissions you give them. In addition, the ProfileOS team can open your workspace through the support view to help you – limited in time, with opening and closing logged.

Can ProfileOS support look into my workspace?

Yes, through the support view, so that it can help you: two hours at most per session; opening and closing are logged, and the team chat stays locked. Apart from the chat, support can do everything the owner can during that time. The details are on the Security page.

Can other ProfileOS customers see my data?

No. Workspaces are separated by account; another ProfileOS customer only gets into yours if you add that person to your team.

How can I protect my account?

Switch on two-factor authentication – with an email code, an authenticator app or both. If you like, add a Lock Screen that locks ProfileOS behind a PIN after a time without activity.

What does ProfileOS encrypt?

Passwords and two-factor codes that you store in ProfileOS for tools, ad portals and SEO are encrypted on the server, and so are bank details. The team chat has its own end-to-end encryption for new messages. Other information is not encrypted in this way.

Can I download my data?

Only the main owner can: the whole workspace or individual areas can be exported as an encrypted file, protected by a password of their choice.

How do I delete my account?

Ask ProfileOS support to delete it. A workspace is only deleted when ProfileOS explicitly schedules this, for example at your request. If you want to keep a copy, export your data first.

Does ProfileOS use cookies to analyse how I use it?

No. The program keeps only minimal usage statistics of its own, without analytics cookies or a lasting identifier. Do Not Track and GPC are respected, and you can switch these statistics off in your account settings.

PROFILEOS

Help and support

Where to find answers and how to reach the ProfileOS team.

Where do I find help in the program?

In the Help Centre. It answers common questions, offers guides you can search and is where you contact support.

How do I contact support?

Open a support ticket in the Help Centre and attach files such as screenshots if they help. Once the ticket is closed, you can rate the help you received.

How quickly will I get a reply?

ProfileOS does not promise fixed response times. As soon as there is a reply, you find it with your ticket in the program.

I don’t have an account yet – who can I ask?

Use the contact form on this website to reach the ProfileOS team. You can also start the free trial and see ProfileOS for yourself.

What if I cannot sign in?

Use the form on the Support page of this website and choose “Account and access” as the affected area. For an urgent access or security problem, select the matching priority.
